Competitions Coordinator

40% Coordinate Static (non-Livestock) Competitions

Primarily responsible for the operation of all non-livestock competitions during the annual Kansas State Fair, which includes:

  • Obtaining personnel needed to assist such as superintendents, clerks, seasonal employees, etc.
  • Putting show information into the contest formats needed by the exhibitors to enter.
  • Keeping the database up to date.
  • Accepting and processing entries; coordinates in-take, judging and return of entries. Advises display of entries, assuring safety and attractiveness of exhibits.
  • Communicating with exhibitors as to rules, updates, arrival instructions, results and premium payments.
  • Assuring results are correct and posted as associated premium payments are distributed.
    • Seeks and/or develops new and “current” contests for exhibitors (both open and youth) for both livestock and non-livestock agricultural events.Develop goals and long-range plans for traditional and creative competitions.
    • Assists with Livestock Competitions questions and needs. Including but not limited to sponsorships and Grand Drive during non-fair time.
    • Supervises seasonal and temporary ancillary staff including a fair time administrative assistant. Manages the operation of the competitions office during the Fair and assures that all departments are arranged with superintendents and needed staff.
    • Additional responsibilities include preparing and processing work orders; maintaining supply inventories needed in each department.
    • Major components include maintaining updated website information, processing credentials, hotel reservations, accurate event schedules, exhibitor camping, routine duties.

25% Seeks and Maintains Partnerships and Support

  • Seeks premium support and sponsorships for various contests.Works closely and in conjunction with volunteers and for promotion and growth of participation all competition department.

10% Organizes and Coordinates Ribbons, Awards and Recognition

  • Order awards needed for various competitions.

20% Agency Liaison

  • Serve as agency liaison with State 4-H and FFA organizations; work closely with State 4-H and FFA officers to plan and coordinate competitions during fair.

5%

  • Completes special projects and performs other duties as assigned including but not limited to ensuring the agency is adequately staffed during and immediately following natural and/or manmade disasters, infectious disease outbreaks, and/or acts of terrorism. Assists other employees in the work unit in accomplishing assignments as necessary.

Other related duties

  • Performs special projects and other duties as assigned.
  • Supports the Agency’s membership of various organizations such as the Kansas Fairs and Festivals Association, International Association of Fairs and Expositions, North American Livestock Show and Rodeo Managers Associations and attends various workshops, conferences, and meeting held by these organizations to keep abreast of industry trends.Interacts daily with agency staff, general public, exhibitors, sponsors, and counterparts to plan, coordinate, influence, reach common understanding, resolve problems, maintain goodwill, and secure cooperation or compromise.Extensive use of communication techniques and well-developed communication skills are required for dealing with others.

Kansas State Fair Entertainment Coordinator

35 % Free Stage Entertainment.

  • Work with the Kansas State Fair General Manager (GM) to set an allotted budget for the Free Stage Entertainment – to include roving and fixed stage performers.
  • Hire age-appropriate entertainment acts for the two free stages during the Kansas State Fair and other non-Fair events. Ensure all of the entertainers’ needs are met when they arrive and at all times during the events.
  • Ensure that agreements, tickets, parking passes and hospitality are sent to each entertaining act in a timely manner with a copy sent to GM. Work with Non-Fair Facility Rental department to secure hotel accommodations as needed.
  • Hire and overseeing stage manager for each free stage ensuring everything is running safely and smoothly. Securing the proper credential i.e. Gate passes and parking passes, for each.
  • Secure and manage production agreement with contracted production company for each free stage. Securing the proper credential i.e. Gate passes and parking passes, for each.

50% Grandstand Entertainment

  • Work with the Kansas State Fair GM to set the allotted budget for Grandstand Entertainment.
  • Work with GM and contracted Entertainment Buyer to secure Entertainment for the Kansas State Fair Grandstand each year.
  • Managing agreement with Production Company for grandstand entertainment for the Kansas State Fair.
  • Ensure agreements are completed in a timely fashion and returned to the contracted Entertainment buyer for submission to the entertainer’s management.
  • Work with Entertainment Buyer to secure all hotel, transportation, any dietary needs that the entertainer might have, and any other items necessary to confirm entertainment.

15% Board Members/Board Meetings

  • Assisting GM with setting up board meeting via zoom/in person.
  • Sending all appropriate documents to each board member for each meeting.
  • Setting up agenda and sending to appropriate staff, board members and media.
  • Taking minutes for each meeting and preparing them by the following Friday of each meeting to the GM.
