DATES TO REMEMBER
  • February 15 -First half payment & signed agreement due.
  • March 2 – Change request application opens
  • March 2 - Late Fees applied.
  • March 5 – Cancellation notices sent out.
  • July 1 - Apply for “Special Event” Sales Tax Clearance Certificate.
  • July 1 – Concession Menus Due – NO CHANGES ALLOWED AFTER THIS DATE
  • July 15 - Second half payment due.
  • July 15 - Any cancellations made after this date receive a refund equal to one-half of the Exhibitor Space Rental Agreement amount minus a $100 processing fee.
  • July 22 - Late Fees applied to past due second half payments.
  • July 31 – Exhibitor Items List Due - no changes allowed after this date
  • August 1 -Final date for Drawing, Giveaway & Special Activity Applications.
  • August 1 - Final date to receive WRITTEN NOTICE of Exhibitor Space Rental Agreement cancellation.Any cancellations after this date WILL NOT receive a refund.
  • August 15 - All Advance Gate Ticket Orders are due.
  • August 15 - Certificate of Liability Insurance (COI) due for coverage of Kansas State Fair dates.
  • August 15 - Concession Menu Prices due
  • August 24 - Credential pickup begins if all required documents are on file.
  • August 28 - Outside Exhibitors begin display set-up.
  • September 7 - Inside exhibitors begin display set up.Buildings are open from 8 a.m. – 5 p.m.
  • September 8, 9, 10 - Exhibit buildings open from 8 a.m. – 8 p.m. for set-up.
  • September 11 thru 20 - 2026 Kansas State Fair.
  • September 21 thru 25 - Fair Office open 8 a.m. – 5 p.m.
  • September 22 - Inside Exhibitor displays/booths should be completely removed from buildings.
  • September 24 - Outside Exhibitor displays/booths should be completely removed from Fair grounds.
